Behind every sunset ceremony and every cocktail party in a flower-filled garden lies a list of invisible details that make all the difference. Plan B Isn’t an Option—It’s a Foundation
I’ll be honest with you: in Quebec, we don’t plan one outdoor event—we plan two. The one you dream of, and the one that will take place if Mother Nature decides otherwise.
My advice: your Plan B has to be just as beautiful as your Plan A. An elegant tent, a charming backup venue, a covered porch… If your backup plan disappoints you from the start, you’ll spend the two weeks leading up to the event anxiously refreshing the weather app. When Plan B is appealing, rain becomes simply a change of scenery, not a disaster.
A little pro tip: set a specific time for making the decision. With my clients, we set a deadline—usually 48 hours beforehand—when we decide together, calmly, based on the forecast.
Guest comfort: your top priority
We often prioritize decor over comfort. Yet your guests will remember being too hot, too cold, or getting eaten alive by mosquitoes more than they’ll remember your centerpieces.
Here’s my checklist for comfort:
Temperature. Fans or cold lemonade during a heatwave, baskets of cozy blankets, and patio heaters for cool evenings. In Quebec, even in July, evenings can be surprisingly chilly.
Insects. A discreet mosquito repellent station, citronella candles incorporated into the decor, and ideally, a treatment of the grounds a few days beforehand. Your guests won’t notice it—and that’s exactly the point.
Shoes. If the reception is on the lawn, think about providing heel protectors for female guests. A small, nicely presented basket at the entrance, and you’ve just saved plenty of ankles (and shoes).
Restroom facilities. If the venue doesn’t have restrooms nearby, luxury portable restrooms are available—and believe me, they’re nothing like what you might imagine. It’s an investment your guests will quietly appreciate.
Lighting: The Secret to Memorable Evenings
Natural light is beautiful… until it fades. An outdoor event that extends into the evening requires a three-tiered lighting plan: functional lighting (pathways, stairs, parking), ambient lighting (string lights, lanterns, candles), and accent lighting (to highlight a majestic tree, the ceremony arch, or the bar).
My favorite is still the Edison bulb string lights hanging above the dining area. They instantly create that warm, intimate atmosphere that makes people say “wow” without knowing exactly why.
The Invisible Logistics
Here are a few elements you might not always think about, but which can make or break your event:
Electricity. Does your venue have enough power for the caterer, the sound system, and the lighting? A quiet backup generator can prevent a lot of surprises.
Permits. Many municipalities require permits for outdoor events, especially those with amplified music. Check the noise regulations and curfew hours—there’s nothing worse than a courtesy visit from the authorities right in the middle of the first dance.
Parking and Access. Will your guests know where to park? Is the venue accessible for people with limited mobility? A shuttle service can be a much-appreciated touch.
Sound. The wind carries away voices. For an outdoor ceremony, a discreet microphone for officiants and readings isn’t a luxury—it’s the difference between moved guests and guests who didn’t hear a thing.
My final tip: surround yourself with the right people
An outdoor event involves more variables than an indoor reception. It’s precisely in these situations that professional coordination really pays off: while someone else manages the weather, vendors, and unexpected issues, you get to fully enjoy your special moment.
